In 2007, Port Macquarie-Hastings Council released a Public Expression of Interest for a Contract Management solution.  With an existing system of excel spreadsheets and a manual paper based system, the Council was looking to replace this with a solution that not only fulfilled their functionality requirements, but would give them one central repository for all contract related information in line with various State regulations.
“Open Windows was by far the best software we looked at; it was the most user-friendly and cost-effective solution” states Craig Swift McNair, Manager Corporate Support for Port Macquarie-Hastings Council. Open Windows was subsequently awarded the contract in late 2007.
Driven by the Corporate Support department, the solution has been rolled-out across all departments, and Council will use it to manage an average of around 70 supplier contracts annually with a value of up to $50 million.
As well as using the software as a central repository and management system for all contracts and contract documentation, the Council plans to use the software to establish insurance, driver license and property leasing registers within the system to maintain a comprehensive directory of contract information and to ensure that no renewals or deliverables are overlooked.
